Terms of Service

1. Overview

Billing Goat is a physician-built documentation and billing platform for Alberta dermatology clinics. By creating an account or otherwise using Billing Goat, you agree to these Terms of Service. If you do not agree, you may not use the service.

2. Nature of the Service

Billing Goat uses a deterministic rules engine to help clinicians construct compliant visit notes and billing from de-identified encounter information. The output is documentation and coding guidance — not medical, legal, or financial advice. The final chart and final billing claim are produced by the clinician in their own EMR; Billing Goat generates text and codes that the clinician reviews and uses at their discretion.

3. User Responsibility for Output

All documentation and billing decisions remain the sole responsibility of the clinician. You are responsible for reviewing, verifying, and approving every generated note and billing code before it enters your EMR or is submitted to Alberta Health. Billing Goat's output is a starting point that must be reviewed in the clinical context.

4. Patient Information — De-identified Use Only

Billing Goat is designed to operate on de-identified encounter information. Users must not enter patient names, Alberta Health identifiers, dates of birth, addresses, phone numbers, or any other direct or contextual identifiers into any field. The user is solely responsible for de-identifying content before entry and for compliance with the Alberta Health Information Act (HIA) and Personal Information Protection Act (PIPA).

5. Data Handling

Encounter information is stored encrypted on Canadian servers and is automatically deleted each day at approximately 2:00 a.m. Mountain Time. Account records (clinic name, members, roles, billing) are retained for the duration of the subscription. Full details are set out in the Privacy Policy, which forms part of these Terms.

6. Clinic Administration

Billing Goat clinics are organized around a clinic account managed by one or more clinic administrators. The clinic administrator is responsible for:

  • Inviting physicians, nurses, and other authorized users into the clinic account, and removing users who no longer require access.
  • Ensuring each user's use of Billing Goat complies with these Terms and with applicable privacy legislation.
  • Managing the clinic's subscription, payment method, and encounter quota.
  • Serving as the primary point of contact for Billing Goat on matters affecting the clinic account.

7. Subscriptions & Billing

Billing Goat is offered on a subscription basis with monthly or annual plans and a monthly encounter quota. Subscriptions renew automatically until cancelled by the clinic administrator. Payments are processed by a third-party payment provider (Stripe) and are subject to that provider's terms. Pricing is subject to change with reasonable notice; continued use of the service after a price change constitutes acceptance of the new pricing.

8. Acceptable Use

You agree not to: (a) enter patient-identifying information, (b) use Billing Goat to submit fraudulent or non-compliant claims, (c) attempt to reverse-engineer or circumvent the platform, (d) resell or redistribute access to third parties, or (e) use the service in violation of any applicable law or professional obligation.

9. Limitation of Liability

Billing Goat assumes no liability for billing outcomes, claim denials, audit results, reimbursement decisions, or any clinical, financial, or legal consequences arising from use of the service. The service is provided “as is” without warranties of any kind, express or implied. To the maximum extent permitted by law, Billing Goat's total liability to any clinic is limited to the fees paid by that clinic in the twelve (12) months preceding the claim.

10. Account Termination

You may cancel your clinic subscription at any time through the billing portal; cancellation takes effect at the end of the current billing period. Billing Goat may suspend or terminate an account for violation of these Terms or for other cause on reasonable notice. On termination, encounter data already subject to the daily wipe is deleted on schedule; clinic account records are retained only as needed for legal and accounting purposes.

11. Changes to These Terms

We may modify these Terms from time to time. Material changes will be communicated to clinic administrators directly and posted on this page with an updated effective date. Continued use of the service after a change constitutes acceptance of the revised Terms.
